Plan wedding transportation before it becomes a day-of scramble

Compare shuttles, limos, and guest buses side by side, scored on your priorities, with every dollar tracked in your budget.

Transportation is the detail most couples underplan.

Wedding transportation is one of the easier things to skip during planning and one of the harder things to fix on the day itself. Whether you need a ceremony car for the couple, shuttles to move guests between hotel and venue, a getaway car for the end of the night, or all three, each service involves its own quotes, vehicle types, and hours-included policies that are difficult to compare when they are sitting in three different email threads.

The Transportation tab in My Wedding Dashboard uses the same side-by-side comparison as venues and photo studios. Add each finalist as a column, define criteria with weights (vehicle type, coverage area, gratuity policy, total cost, hours included), score each vendor from 1 to 5, and see a weighted result before you commit. When you pick a vendor, the numbers go directly into your transportation budget lines and the main Budget tracker. Log actual payments as you make them so recorded spend and remaining balance stay visible instead of becoming a last-minute surprise.

What to plan for wedding day transportation

  • Ceremony car for the couple. Usually a limo, classic car, or luxury SUV for getting to the ceremony and photos afterward. Confirm how many hours are included and what the overtime rate is.
  • Guest shuttle between hotel and venue. If your venue is not walkable from where most guests are staying, a shuttle prevents parking chaos and ensures guests who have been drinking get home safely. Confirm passenger capacity and how many trips they will run.
  • Wedding party transportation. Some couples arrange a van or limo bus so the wedding party travels together from getting ready to ceremony photos.
  • Getaway car. The car you leave the reception in. Often the same as the ceremony car, but confirm whether the quote covers a return trip or a one-way drop.
  • Gratuity and fuel surcharges. These are frequently not included in the base quote. Ask directly before you compare prices.

Wedding transportation questions

Planning and comparing

What wedding transportation do couples typically book?
Most commonly: a ceremony car or limo for the couple, a guest shuttle between hotel and venue, and a getaway car for the end of the reception. Couples with a large wedding party sometimes add a limo bus or van for the party to travel together. Each can be compared and budgeted separately in the planner.
How do I compare wedding transportation vendors in My Wedding Dashboard?
Add each company as a column in the Transportation comparison. Define criteria such as vehicle type, capacity, hours included, gratuity policy, and total cost with weights that match your priorities. Score each vendor and see a weighted total before you commit.
What questions should I ask a wedding shuttle company?
Ask about vehicle capacity and how many trips they plan per route, whether gratuity is included in the quote or added separately, their policy on wait time and late guests, whether they have served your specific venue before, and what their backup plan is if a vehicle has a mechanical issue. Log the answers in the notes field for each vendor in your comparison.

Budget and booking

Does the transportation budget sync with my main wedding budget?
Yes. When you finalize your transportation choice, those numbers flow into your transportation budget lines and the main Budget. Log actual payments as you make them to keep estimated versus actual costs current.
When should I book wedding transportation?
Six to nine months out is a good target for popular dates, especially if you need a specific vehicle type like a vintage car or trolley. Guest shuttles can often be booked a bit later, but confirm availability once you have locked the venue and know the hotel-to-venue route.
